And now the Freeway team is seeking our new Office Manager!

What your new job will look like?

The Office Manager ensures the smooth running of the office on a day-to-day basis and coordinates the work of the Receptionist. Responsible for keeping office order, complying with office related policies and also encourage others to act accordingly.


Responsibilities

  • Office support services
  • Develop and implement office management related policies by setting up procedures and standards to guide the operation of the office in accordance with the current standard;
  • Cooperate with IT Officer on procurement of IT equipment;
  • Cooperate with HR Manager on onboarding process – providing stationary, entry card to new joiners;
  • Plan in-house or off-site events and coordinate these events; bring ideas, negotiate with suppliers, inform and align with participants, supervise the execution during the event;
  • Liaise with staff, suppliers and clients and deal with correspondence, complaints and queries;
  • Update the company’s ERP system and guarantee the quality of data;
  • Provide administrative support to Managers.
  • Office facilitation
  • Ensure the continued availability of office and kitchen equipment and supplies (printers, papers, groceries etc.);
  • Initiate and maintain regular contacts with external suppliers;
  • Manage contract and price negotiations with office vendors, service providers;
  • Verify related supplier’s billings against agreements made;
  • Keep in touch with the cleaners on daily basis;
  • Cooperate with other departments on the organization of our office documents archives (DocuGuard);
  • Coordinating students' schedules.
  • Deputizing the Receptionist
  • Handle the incoming telephone calls, the day to day mail and e-mail;
  • Manage and handle the ordering of different office supplies, coordinate the payment of office supplies (invoices) with the Finance Department;
  • Keep the reception and the office space in order, in particular the kitchen, the dining and the meeting room;
  • Receive and attend guests, clients visiting the office premises;
  • Coordinate the availability of meeting room spaces.

Requirements

Especially if you can talk to us about your:

  • School leaving certificate;
  • Fluent in written/spoken English and native in Hungarian;
  • Advanced level Knowledge of MS Office;
  • Excellent communication skills both oral and written;
  • Problem solving skills;
  • Ability to work independently;
  • Advanced organizational skills;
  • Convey professional image towards internal and external parties;
  • Positive attitude.

Nice to have

  • College or university degree;
  • At least 1 year of experience in similar position.
